Every email, on autopilot

Hundreds of subscribers get a regular newsletter, and every new user gets a welcome series without anyone pressing send. When the first email provider ran out of credit, we moved all mail, including sign-up and login emails, to a new provider within two days, with a second provider behind it as an automatic backup.

Where the bottleneck actually was

A product sends a lot of email: sign-up confirmations, password resets, welcome messages, team invites, and newsletters. If any of these land in spam or fail quietly, people think the product is broken. We also needed a newsletter that the whole audience actually received, without paying for an expensive marketing platform.

/ What we built

A system built around the real workflow

We built one email system that every part of the product uses. Sign-up, login and password emails are written in the brand's style and sent through our own code, not the default templates. New users get a welcome series, and after it a free 4-3-3 playbook. Team owners can invite someone by email even if that person has no account yet. The newsletter list stays in sync with the product's users on its own. We set up SPF, DKIM and DMARC so mail lands in the inbox, and we built in a backup: if the main provider fails, mail goes out through a second one automatically.
